Policies & procedures.

These policies explain the standards expected across Greater Manchester Titans and how we protect players, families, coaches, volunteers and the wider club community.

Safeguarding and welfare

The welfare of children, young people and adults at risk comes first. Everyone has a responsibility to report concerns about possible abuse, neglect, exploitation, unsafe conduct or inappropriate behaviour.

  • Listen calmly and take concerns seriously.
  • Do not promise complete secrecy.
  • Do not investigate or confront anyone yourself.
  • Record what was said using the person’s own words where possible.
  • Report the concern promptly to the club or appropriate authority.
Player code of conduct
  • Treat teammates, opponents, officials, coaches and volunteers with respect.
  • Attend prepared, on time and ready to participate.
  • Follow reasonable safety and coaching instructions.
  • Use appropriate language and behaviour at training, games and online.
  • Do not engage in bullying, discrimination, harassment, violence or intimidation.
  • Look after facilities, equipment and personal belongings.
  • Represent Greater Manchester Titans positively.
Parents and carers code of conduct
  • Support players positively and recognise effort as well as results.
  • Respect coaches, officials, opponents and other families.
  • Do not coach from the sideline or challenge officials during a game.
  • Communicate attendance, medical or welfare information promptly.
  • Raise concerns calmly through the club’s reporting process.
  • Do not post content that could embarrass, identify or place a young person at risk.
Coaches and volunteers code of conduct
  • Put participant safety, welfare and development first.
  • Maintain appropriate professional boundaries.
  • Provide fair, inclusive and age-appropriate opportunities.
  • Never use humiliating, threatening, discriminatory or abusive behaviour.
  • Report injuries, incidents and safeguarding concerns promptly.
  • Protect confidential information and personal data.
  • Declare conflicts of interest and follow club procedures.
Equality, diversity and inclusion

Greater Manchester Titans aims to provide an inclusive and accessible basketball environment. Decisions should be fair and based on relevant sporting, safety and organisational considerations.

Discrimination, harassment or exclusion based on a protected characteristic, background, income, ability or personal circumstance will not be accepted. Reasonable adjustments will be considered wherever practicable.

Anti-bullying and harassment

Bullying can be physical, verbal, emotional, sexual, discriminatory or online. Repeated behaviour is not required for a serious incident to be reported.

Reports will be reviewed fairly. Protective action may be taken while a concern is examined. Appropriate outcomes can include guidance, mediation, behavioural conditions, suspension or removal from club activity.

Attendance, selection and team behaviour

Players should communicate absences as early as possible. Selection and playing opportunities may consider attendance, readiness, attitude, safety, eligibility, team balance and competition requirements.

Selection is not guaranteed by membership or payment of fees. Coaches should communicate decisions respectfully and avoid discussing another player’s confidential information.

Health, safety and incident reporting
  • Follow venue rules, emergency procedures and coaching instructions.
  • Report injuries, hazards, damaged equipment and unsafe conduct promptly.
  • Players must not participate when medically unfit to do so.
  • Relevant medical and emergency information must be kept up to date.
  • Serious incidents will be recorded and referred where required.
Photography, video and social media
  • Images and recordings must be appropriate and connected to legitimate club activity.
  • Consent and safeguarding requirements must be respected.
  • Do not publish personal contact details or sensitive information.
  • Do not use images in a way that could humiliate, exploit or place someone at risk.
  • Concerns about published content should be reported to the club.
Data protection and privacy

The club uses personal information for legitimate activities including registration, communication, safeguarding, competition administration, payments and emergency support.

Information should be accurate, limited to what is needed, stored securely and shared only where there is a legitimate reason or legal requirement. Requests or concerns about personal information can be sent to the club email address.

Complaints procedure
  1. Where appropriate and safe, raise the issue informally with the relevant coach or club contact.
  2. If it is unresolved or unsuitable for informal discussion, email the club with the facts, dates, people involved and the outcome you are seeking.
  3. The concern will be reviewed by an appropriate person who is not directly involved where possible.
  4. Relevant people may be asked to provide information before an outcome is reached.
  5. Safeguarding, criminal, regulatory or competition matters may be referred to the appropriate external organisation.
Whistleblowing

Anyone may report a genuine concern about unsafe practice, wrongdoing, financial misconduct, abuse of authority or attempts to conceal serious problems.

Concerns raised honestly and in good faith should not result in retaliation. Information will be shared only with those who need it to respond properly, subject to safeguarding and legal responsibilities.

Club governance and decision-making
  • The club should maintain a clear purpose and inclusive approach.
  • Its governing group is responsible for oversight and accountability.
  • Important decisions and agreed actions should be recorded.
  • Conflicts of interest should be declared and managed.
  • Financial decisions and club resources should be controlled responsibly.
  • Different skills, experiences and viewpoints should inform decisions.
  • Governance arrangements and policies should be reviewed regularly.

Write down the facts

Include what happened, when it happened and who was involved. Keep screenshots or other relevant information.

Contact the club

Email team@greatermanchesterbasketball.com and mark sensitive concerns as private.

Immediate danger

Do not wait for the club to respond if someone is at immediate risk. Contact the emergency services.

Is someone in immediate danger?

Call 999. Safeguarding and emergency action should never be delayed while waiting for an internal club response.
